Estimate Follow-Up Text Templates for Contractors

Copy-ready text message templates for following up after a contractor estimate. Day 3, day 7, and soft-close versions — for any trade.

These templates are for the follow-up after you've sent an estimate and the homeowner has gone quiet. The goal is a reply, not a close. Keep the door open without making it a sales call.

How to use these

Replace [Name] with the customer's name, [Company] with your business name, and [Job] with a short description of the work ("the roof repair," "the panel upgrade," "the estimate for your HVAC"). Keep the message under 160 characters when you can — it sends as a single SMS.

Day 3 — first check-in (light touch)

Hi [Name], just wanted to make sure the estimate for [Job] came through okay. Happy to answer any questions!

Hey [Name], this is [Company] — checking in on the estimate I sent. Any questions before you decide?

Hi [Name], following up on the [Job] estimate. Let me know if anything needs adjusting — happy to help.

Day 7 — second check-in (soft close)

Hi [Name], just a quick follow-up on the [Job] estimate. Still available if the timing works — no pressure.

Hey [Name], [Company] here. Wanted to check back on the estimate one more time. Let me know if you'd like to move forward or have questions.

Hi [Name], still happy to help with [Job] when you're ready. Just let me know.

When the customer says "not yet" or "maybe later"

No problem at all, [Name] — when would be a good time to check back in?

Totally understand. Would it be okay if I followed up in a few weeks?

Got it — I'll reach out again in [timeframe] if that works.

After a price question or pushback

Happy to walk through the estimate with you, [Name] — let me know a good time to talk.

I can look at the scope if budget is a concern. Want me to send an adjusted version?

If the price is a stretch right now, I can see if there's a phased option that works better.
